We have an exciting opportunity for an experienced, enthusiastic, proactive and determined Office Manager to join our business and fulfill a key role within Coventry City Football Club.

Within the role of Office Manager, the successful applicant will be responsible for an exciting variety of tasks supporting the club, particularly Chief Operating Officer and Head of HR. The Office Manager will have a holistic view of the business operation, ensuring that the correct processes and procedures are adopted.

Role Responsibilities:

  • Provide day-to-day administrative support to all club sites.
  • Be the point of contact for guests arriving at the Coventry Building Society Arena.
  • Manage the office facilities at both the Club’s offices in the Coventry Building Society Arena and the Training Ground to ensure they are fit for purpose.
  • Linie manages the cleaning crews at all club sites.
  • Manage office supplies including best price sourcing for supplies like stationary etc. and the postal system etc.
  • Administering departmental meetings, providing minutes and actions where appropriate.
  • Club vehicle administration, full compliance, vehicle management and booking process management.
  • Administration of the Club insurance scheme including managing the vehicle management system and quarterly reporting to the broker.
  • Health and safety administration – including sending and collecting risk assessments, managing updates, organizing inspections.
  • Training Administration – updating systems with training records, collecting and managing training records, organizing training sessions, managing any expiry and refresher training.
  • Preparation and collection of information and documents for the Club’s audits.
  • Human resources administration – including data entry and references.
  • Administration and ad hoc support for the club’s Chief Operating Officer (COO) and Chief Commercial Officer (CCO).

The successful candidate will have

  • Experience in office management.
  • Exceptional attention to detail along with excellent administrative skills.
  • Ability to effectively multitask and prioritize.
  • Excellent communication and organizational skills.
  • Commercial attitude.
  • Knowledge in Microsoft Office suite.
  • Flexible and adaptable attitude towards work.
  • Take initiative and challenge the status quo.
  • The highest levels of personal integrity and the ability to maintain trust, sensitivity and confidentiality.
